ASSISTANT ONLINE EDITOR

The Assistant Online Editor is an integral part of the team responsible for developing and maintaining Poets & Writers’ website (pw.org). Under the direction of the Editorial Director, pw.org attracts over a million unique visitors per year and is the creative writer’s primary source for information and advice.

As detailed below, specific tasks include maintaining a variety of databases and select web content. In addition, the Assistant Online Editor is often the first point of contact with writers and others seeking assistance, and as such is key to maintaining the high level of service and integrity for which Poets & Writers is known.

The position offers a creative, adroit, and literate person an opportunity to contribute to the ongoing development of Poets & Writers’ fast-growing online service to creative writers. This full-time position reports to the Editorial Director, and includes excellent benefits and potential for growth.

Responsibilities include:

  • Compiling news sources and writing headlines for P&W’s Daily News, an online aggregate of news items relevant to writers, and promoting it via social media.
  • Maintaining, enhancing, developing, and producing select online content, including Top Ten Topics for Writers.
  • Administering the Directory of Poets & Writers, and maintaining the integrity of its
  • 9,000+ listings of contemporary authors.
  • Maintaining and updating other online resources and directories, including P&W’s databases of literary magazines, small presses, grants & awards, and MFA programs.
  • Communicating with writers, magazines, small presses, and other entities regarding their listings in pw.org’s databases.
  • Conducting outreach and research related to the maintenance of databases.
  • Supervising interns.
  • Answering written, phone, and e-mail queries from writers, providing accurate information and outstanding, courteous service.
  • Serving as back up to the Administrative Coordinator, whose duties include greeting visitors, receiving packages, checking and forwarding phone messages, among other administrative tasks.

Qualifications and Experience:

  • Excellent research, writing, and communication skills.
  • Web savvy; strong experience with maintaining databases.
  • Experience with basic HTML, CSS, and Drupal, a plus.
  • Highly organized and excellent attention to detail.
  • Familiarity with the literary marketplace.
  • Independent, self-motivated worker.
  • At least one to two years of office experience.
  • Passion for contemporary poetry and fiction.

Lindenmeyr Book Publishing Papers Group Seeks Pace Student for Administrative Assistant Position!

Job Description:
This position reports to the Manager of Inside Sales. The job combines standard secretarial duties with a wide range of administrative tasks needed to assist in the smooth operation of the Book Publishing Papers group. The key element of this position is supporting the marketing efforts of the VP of Sales.  As a sales organization, contact with customers and suppliers, both by phone and in person, is a critical aspect of the job.  The individual best suited to this job is one who can juggle a variety of tasks simultaneously and who can set priorities for projects.  Knowledge of the Microsoft Office Suite and good overall computer skills are critical. The hours for this job are 8:30 AM sharp to 4:30 PM. Minimal overtime may be required for seasonal projects or special functions. The right candidate must be willing to pitch in and help as required when asked by any member of the group.

Responsibilities:
•     A primary responsibility is the answering telephones, routing calls and taking clear, accurate, complete messages.
•    Coordinate document processing for the Management Team, Sales or Inside Sales representatives using Microsoft Office: Word, Excel, and PowerPoint.
•    Provide copy of all monthly reports, correspondence, bids and proposals to the Sales Manager on a regular basis. File an office copy of all documents.
•    Maintain and update assorted mailing lists in the Contact Manager
•    Distribute information (faxes, trade newsletters, price lists, etc.) throughout the office and to the branch offices as required.
•    Assist/backup the Office clerk on mail, faxes, samples tags and related office equipment.
•    Assist with the planning/coordination of special events and annual events (i.e. the annual golf outing, calendar mailings, mill trips, holiday gifts, sales meetings, etc.)
•    Coordinate travel arrangements for the Sales Reps. and Management personnel as necessary.
•    File reports and correspondence. When needed assist the other clerks in purging and organization of the department files.
•    Order lunch and refreshments for Sales meetings and other functions as required.
•    Maintain the conference room reservation log.
•    Organize the weekly itinerary for management and Sales Reps. for the coming week.  Make copies and distribute every Thursday afternoon.
•    Maintaining monthly expense roster by Sales rep., Account and Individual.
•    Interface with the Consignment Coordinator and the Order Entry and Billing clerks on related duties. Work within the JDE order system adding item masters and addresses.
•    Other projects and tasks as they evolve.
